MailPress adds a "Save as PDF" button right inside Gmail. One click turns the email you're reading into a clean, searchable, archival-quality PDF on your disk - correctly formatted, sensibly named, ready to file, share, or print. No print dialog, no popup windows, no configuration. ━━━ WHAT IT DOES ━━━ Open any email in Gmail and you'll see a MailPress button next to it. Click it, and in a few seconds you have a real PDF: • True text, not a screenshot - every word is selectable and searchable, links stay clickable, and the file prints crisply at any size. • Clean layout - the message is re-typeset for paper. No Gmail sidebars, toolbars, ads, or clipped margins in your document. Sender, recipients, date, subject, and a list of attachments are printed as a proper document header. • A filename that makes sense - "2026-07-18 - Jane Doe - Invoice #123.pdf" by default. Fully customizable with {date}, {sender}, {subject}, and {counter} tokens, with a live preview as you type. • Saved where you want - download locally, upload to your own Google Drive (any folder you pick), or both. • Archival mode (PDF/A-2b) - one toggle makes every export conform to ISO 19005-2 level B, the long-term preservation format archives, courts, and retention policies ask for. Output is validated against veraPDF, and if a file can't be made properly conformant the export stops with a clear message. You never get a PDF mislabelled as PDF/A. • Bates numbering - a prefix plus a sequential number stamped in the bottom-right corner of every page: "SMITH000123". Pad to 4, 6, or 8 digits. The counter keeps running across separate exports, across threads, and across a whole batch, so a production stays consecutive from the first page to the last. Numbers are reserved before anything is stamped, so an interrupted export can leave a gap but never a duplicate - and you can set the next number by hand whenever a matter starts. • Page numbers - "Page 3 of 12", centred in the footer, on any export. • Custom footer line - bottom-left text assembled from tokens: {page}, {pages}, {date}, {sender}, {subject}, {bates}. Use it for a case name, a matter number, "Confidential - Attorney Work Product", a client code. Live preview updates as you type. Need more than one email? • Thread export - save an entire conversation as one chronological PDF, every message in order. • Batch export - select several emails in your inbox and export them all in one go, delivered as a tidy ZIP. The summary tells you exactly what was written, including the Bates range it consumed. You stay in control of the output: A4 or Letter (or automatic, matched to your region), portrait or landscape, normal or compact margins, and an option to strip quoted reply history so the PDF contains only the message that matters. ━━━ WHY INSTALL IT ━━━ Because the alternatives don't produce records. Gmail's built-in Print puts interface chrome in your document and makes you fight a print dialog every single time. Screenshots are blurry, unsearchable, and worthless as evidence. Email-to-PDF web services ask you to forward private mail to someone else's server. MailPress answers all three: 1. It's instant. One click, no dialogs, no new tabs. Progress appears right on the button - rendering, saving, done. 2. It's a real document. Searchable text, clean typesetting, optional PDF/A-2b conformance and Bates stamps mean the PDF holds up as a record: in a discovery production, a court exhibit, an expense report, a warranty claim, an audit file. 3. It's private by design. All processing happens locally in your browser - including page numbers, Bates stamps, and archival conversion. Your email content is never sent to our servers; nobody at MailPress can read your mail. The only upload that ever happens is the one you explicitly turn on, to your own Google Drive. If you save emails regularly - receipts, contracts, confirmations, client correspondence, HR records, case files - MailPress removes a small daily friction permanently.
