WA Folders
Overview
Folders, follow-ups, notes, private AI catch-up, search and export for WhatsApp Web (not the phone app). No WA Folders servers.
WA Folders turns WhatsApp Web into an inbox you can keep on top of — folders, follow-ups, notes and a private AI catch-up, all kept in your browser. It runs on https://web.whatsapp.com in Chrome. It does not work in the WhatsApp phone app, and it is not a CRM or a WhatsApp Business API tool. There is no WA Folders account and no WA Folders server. It never presses Send. TODAY, AT A GLANCE One line at the top: what's due, who is waiting for your reply, who asked you a question, and who you're still waiting on. FOLLOW-UPS THAT CLEAR THEMSELVES Sent something and need an answer? "Remind me if they don't reply in 1 day." If they answer, the reminder disappears. If they don't, the chat comes back under Due with a badge on the toolbar icon and an optional desktop notification. WAITING ON THEM · QUESTIONS FOR ME Two lists nobody else gives you: one-to-one chats where you spoke last and heard nothing back, and chats whose last message asks you something. PRIVATE AI: CATCH ME UP · DRAFT A REPLY One click summarizes a long chat and lists what's still waiting on you. Another drafts a reply you can edit — it goes into the message box, and you press Enter yourself. By default it runs on your own computer with Chrome's built-in AI (Chrome 138 or newer on a supported computer), so the chat never leaves it. You can use your own OpenAI, Anthropic, Google Gemini or local (Ollama) key instead; then the messages you ask about go straight from your browser to that provider — never to us. VOICE NOTES TO TEXT Click Transcribe under a voice note to read it as text. By default the speech model runs on your computer and the audio stays there. The first time, WA Folders shows the download size and asks before it fetches the model once from Hugging Face. You can pick Accurate (about 252 MB) or Light (about 80 MB, better for slower computers or metered connections). You can also use your own OpenAI or Google Gemini key; then the audio of the note you click goes from your browser to that provider. To get the audio, WA Folders may play the note muted for a moment, so WhatsApp may show it as played. Transcripts stay on this device and show up in search and exports. TRANSLATE MESSAGES: PORTUGUESE, ENGLISH, SPANISH Click Translate next to a message, or under a voice-note transcript, and the translation appears under it with the language it came from. If that language is wrong, click change. Translate draft turns what you typed into Portuguese, English or Spanish in the message box, and Undo puts your original back. WA Folders never sends it; you press Enter yourself. Translation runs on your computer with Chrome's translator. The first time, Chrome downloads its translator (about 30 MB) and about 80 MB per language. If Chrome's translator isn't available, WA Folders can use your own OpenAI or Google Gemini key, after asking you once. Translations are shown on screen and never saved, searched or exported. FOLDER TABS Family, Work, Clients — or your own — as tabs right above your chat list, with unread, reply, question and due markers. Colours and emoji. The WA Folders panel sits in the conversation area so it does not cover the chat list; on a narrow window it folds into a tab. Click a chat in a folder or in the command palette and it opens. On first use it can suggest folders from the chat names already on screen; nothing is filed until you press Add these. PRIVATE NOTES AND QUICK REPLIES Write a note on any chat ("owes me $40"). Save replies you type often; {name} and {first} fill in the person's name. Quick replies are typed into the message box — never sent. PRIVACY BLUR AND PANIC KEY Turn blur on with the eye control in the panel, or set your own shortcut at chrome://extensions/shortcuts (default Alt+Shift+U). Blur hides names, photos and messages; hover to peek. Alt+Shift+H hides WhatsApp Web at once. Pro adds a PIN lock screen for when you step away. SEARCH Search chat names (including chats you have not opened yet), your notes and messages WA Folders has seen, filtered by folder, notes or links, and save searches. Snippets stay clean of voice-note and file UI text. Pro: after "Load whole chat", search covers that chat's entire history. EXPORT Export the open chat to HTML, CSV (Excel-safe, including Windows), Markdown or JSON. Media is labelled ([voice message], [file], [photo] and so on). Pro: the whole chat from the start, a whole folder in one file, and password-protected files that open in any browser with the password. DEAL BOARD Tag customer chats Lead, Quoted, Paid, Shipped, Done (or your own stages), see them as columns, drag between them, export as CSV. ALSO Command palette (Ctrl+K), auto-file rules, backup and restore, sync between your Chrome browsers (Pro), light and dark, and a self-check that tells you when a WhatsApp update affects WA Folders — and shows a ✓ when everything works. Every free-plan limit message includes an Upgrade link that opens checkout. AVAILABLE IN English, Español, Português (Brasil), हिन्दी, Bahasa Indonesia, العربية. FREE AND PRO Free: 5 folders, 5 search results, 3 exports a day, 2 reminders at a time, 3 quick replies, 1 rule, 3 AI answers a day, 5 voice-note transcriptions a day, 20 translations a day, 5 chats on the deal board, 1 saved search — no time limit. Pro ($9.99/month or $99 lifetime, via Polar): no plan limits — unlimited folders, search results, exports, reminders, quick replies, rules, AI answers, voice-note transcriptions, translations, deal-board chats and saved searches — plus Load whole chat with full-history search, whole-folder and password-protected exports, the PIN lock, and sync. Paste your license key (starts with WAF-) in the toolbar popup. A few technical limits apply on every plan (not plan caps): Load whole chat stops at 20,000 messages; one export of the open chat keeps the newest 5,000 loaded messages; a whole-folder export opens up to 100 chats in one run; voice notes longer than 15 minutes are not transcribed. PRIVACY - Data stays in chrome.storage.local on this device. - No account, no analytics, no ads, no trackers, no WA Folders servers. - AI, voice-note transcription and translation run on your computer by default. Transcription downloads its speech model once, after you agree; Chrome downloads its translation files the first time you translate. If you add your own API key, only the messages you ask about, the voice note you click Transcribe on, or the text you click Translate on when Chrome can't translate it, go to the provider you chose, only when you click. - Never sends messages for you. No bulk send, broadcasts, auto-replies or contact scraping. - If you remove the extension, Chrome may open an optional anonymous survey (a Google Form). Only the extension version and UI language are pre-filled; answering is optional. - Not affiliated with WhatsApp or Meta. HOW TO START 1. Install WA Folders. 2. Open https://web.whatsapp.com and wait for your chats. 3. Open a chat and press Add chat on a folder in the WA Folders panel. 4. Check the Today line at the top of the panel each morning. If WhatsApp changes its page and something stops working, the panel says so and offers "Copy diagnostics" (no chat content). WhatsApp and WhatsApp Web are trademarks of their owners.
